Summary:
The Operations Manager will oversee day-to-day operations, administrative systems, support on HR processes, compliance, and financial coordination. In addition, they will collaborate with the Development Director to support fundraising efforts, private donor cultivation, and multicultural community gatherings.
This position requires a balance of strong organizational skills, cultural competency, and creativity. The ideal candidate is passionate about working with immigrant and refugee communities and can ensure that Manzanita House’s mission is supported by efficient operations and meaningful community events.
Essential Functions:
1. Operations & Administration
Oversee daily operations, office management, and administrative systems.
Develop, implement, and monitor policies, procedures, and compliance tracking.
Develop processes for recordkeeping, scheduling, and cross-team communication.
Support implementation of internal manuals (Emergency Manual, staff policies, etc.).
Arrange travel for staff work activities
Manage vendor and partners and collaborators relations, contracts, and performance.
Coordinate use of technology tools, CRM, and organizational systems.
IT systems coordination and data management
Track and maintain internal calendars, supplies, and organizational resources.
2. Financial & Resource Coordination
Track invoices, reimbursements, and office expense reports.
Ensure accurate financial and operational recordkeeping.
3. Human Resources & Staff Support
Manage onboarding and offboarding processes.
Work in Conjunction with HR Manager to maintain personnel files and HR compliance.
Support staff development, engagement, and team culture.
Coordinate staff meeting agenda and follow-up
Coordinate training sessions and assist with recruitment as needed.
Celebrate staff wins, anniversaries, and other notable events.
4. Program & Event Support
Collaborate with program directors to ensure timely delivery of services.
Ensure all Manzanita House organization activities reflect cultural inclusivity and celebrate diversity.
5. Leadership & Board Support
Assist with preparing board materials and reports.
Provide scheduling and logistical support for leadership and board events.
Serve as a key connector between leadership, staff, and external partners.
Qualifications and Requirements:
Required:
Relevant experience, or a bachelor’s degree in nonprofit management, business administration, or a related field.
3–5 years of nonprofit operations, community development, or event management experience.
Proven ability to manage multiple priorities in a fast-paced environment.
Strong organizational and project management skills.
Proficiency in Microsoft Office Suite, Google Workspace, and nonprofit tools (CRM, QuickBooks, etc.).
Excellent written and verbal communication skills.
Demonstrated cultural competency and commitment to working with immigrant and refugee communities.
Preferred:
Experience with database, donor management, and fundraising.
HR management or SHRM certification.
Event planning experience with multicultural or community-centered programs.

GENERAL DESCRIPTION OF BENEFITS: Currently, Full-Time Employees of Manzanita House receive a Health Care Stipend of $315/month. Employees will also receive .08 hours of vacation for every hour worked, 1 hour of sick leave for every 35 hours worked, and 19 paid holidays (including 4 floating holidays to be used at the employee’s discretion). Manzanita House offers up to 20 paid hours per year to volunteer outside of the workplace. Employees are eligible for 3 days of bereavement leave per qualifying event. Manzanita house also provides leave for Jury Duty and Military Leave.

• While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations
• The ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-15 pounds
• Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read application information
• The employee frequently is required to sit, reach with hands and arms, talk and hear
WORK ENVIRONMENT:
• General office setting
• Great lengths of time working on the computer, reading from computer screen, entering information, standing at copier or fax machine, and some time on the phone or in skype meetings may be required
